We have a content management system (CMS). Are my daily website back-ups suitable for Records Retention Compliance?

IT teams will tell you your website is “already backed-up daily”, and they’re correct. Externally hosted CMS systems provide daily back-ups, and if your site is internally hosted, your IT team would run a daily HTML back-up as a best practice. The question though is not whether or not the Agency’s website is backed-up. The question is - “Is it archived?”.

Most CMS systems will trump Archive-IT when it comes to back-up frequency, providing a minimum once per day back-up (although the storage duration could be an issue). The real problem however is the lack of metadata and Record Authenticity. Web Content Management Systems are not able to collect the HTTP and other Metadata that is required by law or are necessary to make data usable in court.

In addition to the preservation of record authenticity and archive frequency, PageFreezer takes the pain out of the discovery cycle through its effortless search and export provision. PageFreezer has specific features built-in to support your open records request process and transparency efforts. Having all your sources on one dashboard speeds up the process and minimizes effort from your employees in processing these requests.
