"Incredible Software & Exception Service"

What do you like best?

Acctivate does exactly what it is supposed to do and it is very intuitive and easy to use. I just love the software and I love the team of people who support it.

What do you dislike?

There is nothing I dislike! It has everything I need and then some!

Recommendations to others considering the product

There's no question the software works. It does everything that it is advertised to do. Furthermore, their customer support is off the charts great! They bend over backwards to make sure you know how to use it. They also have excellent tutorials right on line, so you can find very well prepared materials to keep you operating at the highest level.

What business problems are you solving with the product? What benefits have you realized?

QuickBooks cannot effectively manage inventory. And, QuickBooks cannot track it by lot codes that are necessary for managing perishable products. Acctivate has simply changed our company from an ineffective and inefficient company into a professional leader.

"Acctivate with Quickbooks enterprize"

What do you like best?

The software integrates well with Quickbooks Enterprize (QBE). Our QBE file had grown to an unruly slow size because of our large inventory. We had to do something before our system failed as Intuit was warning us the file size was getting too large and they could not fix issues with the file. Using Acctivate solved this issue for us and at the same time provided us with a fairly good CRM solution which was another problem we were facing.

What do you dislike?

The preparation and transition was extensive. The was a formadible learning curve for our small organization

Recommendations to others considering the product

Form a team of people who clearly understand your current processes.

Develop the workflow in Acctivate using the model company.

Develop a good test plan to resolve workflow issues early

Provide training to users early using the model company and before go-live

What business problems are you solving with the product? What benefits have you realized?

Acctivate resolved our excessively large Quickbooks Enterprize (QBE) file issues and also gave us a reasonable CRM which we needed. It integrates well with QBE and fixed our file size issues.

"Not the best fit, but it works"

What do you like best?

Ability to link transactions

copy emails to a transaction

various easy ways to search transactions and products

Ability to track items by lot #

Ability to do manufacturing assemblies

What do you dislike?

we were sold a service that we have never used

It doesn't work well with the products that we inventory in pounds

It allows for a lot of accounting errors that you have to find on your own

there aren't enough preventive measures to help keep the costing accurate

basic reports are mediocre and one report adds up the totals wrong and hasn't been fixed

Recommendations to others considering the product

Make sure you spend time monitoring your financial statements for errors in the first few months. Make sure you review what modules you purchased before your implementation ends to make sure everything was setup. Make sure you understand the workarounds if you have inventory in pounds.

What business problems are you solving with the product? What benefits have you realized?

We needed a way to track related transactions and acctivate has been incredibly helpful in that way

We needed to start tracking our products by lot #

We needed a way to start tracking our raw materials for our manufactured products

"Some pro's and cons that we have encountered"

What do you like best?

I love that the capabilities seem endless. The Dashboard is amazing. The inventory management is exactly what we needed.

What do you dislike?

I do wish it was better at reports. Some of the reports that I would like don't exist without Crystal Reports and Crystal Reports seems very expensive per user. I wish I didn't need Crystal Reports to get what I need.

Sometimes Acctivate is glitchy and just closes down. Some times it changes the number of pieces I enter on the line items. It does not transfer the invoice reports to Quickbooks very well at all. All of our customer part numbers have to go in the special instructions field but this field does not show up if we email the invoice from Quickbooks. The invoices look horrible when we email them from Quickbooks.

Recommendations to others considering the product

Almost anything that is not included in Acctivate can be added with addons.

Its inventory management but also a CRM built in. No need to use a separate CRM.

What business problems are you solving with the product? What benefits have you realized?

Acctivate has helped us for any of our current CRM needs and has everything that we will need for our CRM needs in the future as our company grows. The Dashboard is amazing, giving everyone that logs in a great view of how the business is doing or has been doing. The fact that Acctivate almost acts as a building block that can have addons installed into it to make it more versatile or cover any needs that is not already included is definitely a great benefit. We used to have to manually create labels for every line item that was sold and now its all automated thanks to a report we had created and added to Acctivate. A huge benefit is the Inventory Management. We have more inventory than what can be managed manually so the inventory management has helped us immensely. Our business comes to a halt without inventory so this is a big deal.

"Solid program and decent business solution."

What do you like best?

The best feature is the self contained robustness that acctivate offers. From an inventory standpoint, we can set all kinds of min/max values and really keep tabs on our products. It can generate tons of reports and custom ones can be made as well.

In addition, from a sales side, it stores plenty of addresses and the process of submitting a PO or invoicing the order is a breeze.

What do you dislike?

It does have a few perceived shortcomings.

1) Very heavy on the graphic resources: This often leads to improper shut downs of the program, visual errors and memory issues. This has some to do with our choices in hardware, but it is very resource intensive.

2) Pre-auth: Some programs will allow your pre-auth to be adjusted in the upward direction. Acctivate is not one of those. You must delete it and then charge separately (effectively removing double funding from your customer).

3) Sensitive order of operations: There are some actions that must be done in order. If you don't, you end up in an endless error loop that could eat of 5 minutes of your time. For example, if you have a dropship D and a lot number assigned. If you change it to a Stock Shipment (P) before removing the lot number, you will end up in an error loop.

4) Windows: You are only able to have a finite (20's ish for me) amount of windows open. Furthermore, the window button only shows you 10 active windows. So if you are using 15, you can't switch directly to them using the window tab.

There are some more that could eventually be improved upon, but these aren't "deal breakers" just improvement possibilities.

Recommendations to others considering the product

Have someone on staff who is very computer savvy. Preferably an in house tech to help explain/troubleshoot or communicate with Acctivate staff when help is needed. While there are a great deal of tutorials, you will only be able to get out of Acctivate the same quality of work you can put into it.

What business problems are you solving with the product? What benefits have you realized?

Quickbooks records all of our financials as it has much more malleability for transaction needs. However, we heavily rely on Acctivate to track our sales data and inventory management. An area that Acctivate is very strong in.

"New Company, Needed an inventory management/sales system"

What do you like best?

The flexibility to create custom reports that help me get the information that I want. The ease of use that helps me train new employees quickly. The Order Manager that directs the flow of an order from quotation to delivery.

What do you dislike?

Some of the journal entries created in QuickBooks after synchronization are difficult to trace. The inability to look up vendor information outside of creating a PO. The lack of suggested MIN/MAX stocking quantities.

Recommendations to others considering the product

There are a number of options out there. Acctivate is very reasonably priced for the capacity that it can function. Acctivate is worth a look and the customer service team has been a big help in solving issues with getting the information that I need. They are a phone call away and can only help if you call.

The order manager tab is a quick snapshot of what is/should be going on in each area of our business (i.e. warehouse, dispatch, inside sales)
