What do you like best?

KeyedIn allows our art department to work hand-in-hand with our sales department by creating an organized database of both customers and work orders. Our ability to keep all the info on each individual company saves us time & streamlines the project from the start.

What do you dislike?

There are several features that our creative department does not utilize such as invoicing and production stats so it can be intimidating at first. However being able to manage each individuals rights to certain sections of the software allows you to focus on learning only the areas that benefit your department

What business problems are you solving with the product? What benefits have you realized?

We're creating detailed CRMs that hold all the info for each business in one area - accessible in office and on the go. The program is currently used between our 3 office locations making all info and photos readily available for people in all department. It also creates a running timeline of all projects in the works

"KeyedIn has organized our projects!"

What do you like best?

I like the task based project plans. They help keep me and the Engineers on plan and allows them to manage their workloads.

What do you dislike?

I wish the product had a dedicated customer portal that would let us give our customer vision into the system without using a license.

Ensure you understand what you want out of the platform and your roll-out will be much smoother.

What business problems are you solving with the product? What benefits have you realized?

We were having a problem understanding the work that is required for an Engineer to complete a project. We were using spreadsheets that were always behind on updates and they became obsolete very quickly. KeyedIn has help us lay out a project plan and make the Engineer responsible for keeping their tasks up to date. It has also allow me to assign someone and hold them accountable to complete the task. It has made my job, as PM, easier to do.

"Implementation Experience"

What do you like best?

The implementation of Keyed in went very well. Working through the solution, whenever we had questions or needed clarification during set up, we were answered very quickly. Also liked that members on the team asked us questions to make sure the solution was being set up to fit what we needed it for.

What do you dislike?

From the implementation perspective it went very well.

What business problems are you solving with the product? What benefits have you realized?

Our biggest issue was resource management. Having one place to keep everything together and being able to holistically see what everyone is doing on any given project was a huge problem that this solved. Managers can quickly see what is going one, who is over/under utilized and make adjustments rather easily to any project.

"Ease of integration with CRM and Accounting & Finance Systems"

What do you like best?

When we were looking to round out our ERP system, we needed a resource management system that would seamlessly integrate with our CRM and Accounting system. KeyedIn 's integration with SalesForce and Intacct met our needs and we now have only one point of entry for any piece information and the other two systems are automatically updated. Opportunities set up in SalesForce are transferred to KeyedIn os resources can be assigned. Time entered In KeyedIn is transferred to Intacct for Billing and Project Profitability tracking. KeyedIn truly rounded out our cloud based ERP by utilizing Best in Class solutions.

What do you dislike?

KeydIn times out and logs you out for inactivity over a shorter period of time than our other cloud based solutions.

Recommendations to others considering the product

KeyedIn's Customer Support and willingness to understand their customer's needs and work with them to achieve their needs is superior. Unlike other software vendors,they don't try to fit your business into their software, but work with you so their software fits your business.

What business problems are you solving with the product? What benefits have you realized?

Better utilization of our staff based on knowing current and projected availability of staff. Enabling us to assign the best staff based on skill set and ability which maximizes customer satisfaction, while enhancing employee engagement, and project profitability.

"Powerful, flexible system for managing multiple projects"

What do you like best?

Our consulting company provides B2B Marketing services to help clients accelerate sales revenue by building their Lead-to-Revenue capabilities. In many cases, we work as an extension of our client’s organization. We needed a tool to track resources, projects, time, and deliverables both for our internal team and for projects that include client resources. So while we’re a small company, we need to manage numerous projects and deadlines at any given time.

For our situation, we like the flexibility of Keyedin Projects to fit our operating environment and the project portfolio management capabilities. We prefer to initiate and plan projects at the top level and then add detail as information becomes available. We can manage as much, or as little as we need for a particular project or client.

The PPM reporting gives us an automated, big picture view of current projects, resource loading and upcoming deadlines.

What do you dislike?

The learning curve for new team members to get started is higher than a basic task tracking / project management tool such as Trello or BaseCamp. But this tool gives us the macro view of resource loading and project activity that a simpler tool doesn’t provide.

Recommendations to others considering the product

Don't under-estimate the time it takes to configure the system. Even though it is a reasonably mature cloud solution, we found there is still a lot of configuration required to make sure it all works together. As with a lot of systems, one small configuration setting can lead to unforeseen consequences further down the workflow and can take some time to resolve.

What business problems are you solving with the product? What benefits have you realized?

We needed a tool that allowed gave us a top-down perspective on projects and resources. For us, starting with this strategic, business level view is more important than the time consuming task of defining projects starting with the details. Instead, we add project details and resources as needed for a given project.

"Highly Configurable system for managing Professional Services"

What do you like best?

User logins and profiles enable you to easily break out group based permissions. The reporting feature (once learned) provides alot of valuable analytics and insights, based on project details and timesheet data.

What do you dislike?

System requires a lot of setup and configuring in order to operate properly. Every organization will need to have a dedicated resource to live and breathe the system, otherwise even the smallest tweaks or errors are difficult to diagnose, or fix, without support. Help Files are focused on "what", rather than "where", so are not a helpful source for troubleshooting.

Recommendations to others considering the product

Ensure you have a properly defined implementation plan. Configuration of the system is substantial and will require alot of time on both sides; suggest to have someone dedicated to this as a full time role for the initial implementation, UAT, and two months post -live.

What business problems are you solving with the product? What benefits have you realized?

Resource management, time tracking, and project management across professional services and development teams. Timesheet tracking, basic project management, and the reporting based on these two areas have been helpful. We now have a more accurate and immediate view of key core metrics.

"Meets requirement for a sinlge application to record time and manage clients, projects & resources"

What do you like best?

Our business is a small IT consulting firm that was looking for a single system that would capture consultants' time, manage their projects, and (more or less) automatically produce a client invoice. KeyedIn meets these requirements for us. To summarise, the system:

1. Provides considerable flexibility to manage resources, clients, projects and invoicing.

2. Is easy to use interface for staff to enter their time.

3. Has reasonably flexible reporting.

4. Includes good online system Help.

What do you dislike?

1. Reporting using pre-defined data sets does limit the reporting flexibility.

2. Can be confusing to configure at times because of the option to configure the same setting in multiple ways.

3. Doesn’t integrate with our cloud-based finance system.

4. Some configurations are limited, eg, invoicing frequency is set and new ones cannot be added.

Recommendations to others considering the product

Don't under-estimate the time it takes to configure the system. Even though it is a reasonably mature cloud solution, we found there is still a lot of configuration required to make sure it all works together. As with a lot of systems, one small configuration setting can lead to unforeseen consequences further down the workflow and can take some time to resolve.

What business problems are you solving with the product? What benefits have you realized?

We wanted a single system that could capture time and manage projects and (if configured properly) could produce a client invoice. Setting up the system as we did now virtually guarantees we can account for all of our staff's time and make sure we are invoicing our clients clients correctly with little manual effort in the process.

"I have customised the underlying software to meet the specific needs of my business and our clients "

What do you like best?

It is easy to access, straight forward to use, and is flexible for customisation. It allows you to get oversight across a portfolio of projects drawing out specific parameters. You can build as many custom reports as you like, based on the underlying data captured by the system. It is useful as a governance tool as opposed to a replacement for something like MS Project, which is cumbersome to use as it's so detailed. You can broaden the project management module to include resource planning, finance, time and expenses.

What do you dislike?

The system administration can be overly complicated / confusing depending on the security set up you wish to achieve. Cloning projects can result in system problems if you forget to tick or un-tick certain things before cloning. You need to make a lot of use of the admin in order to master it. If you only use it occasionally then it is easy to forget how to properly administer the system. If you create a bespoke report via in-house programmers then it can be costly and take a fair amount of time to either make amendments or create new programmed reports.

Great online method of tracking and managing projects at a high level, i.e. as a governance tool within the PMO.

What business problems are you solving with the product? What benefits have you realized?

I use the software primarily as a modern and efficient way to manage procurement related projects. It enables me to track project progress, monitor key milestones, spend and savings achieved, and access project risks and issues via the internet. It gives visibility of what is going on across many projects which is invaluable to a manager.

"Best PPM Tool I Have Used / Implemented To Date"

What do you like best?

USEABILITY - as most of the user base would not in be in the tool on a daily basis we wanted something that would be intuitive to use. We found most elements of the tool were a maximum of two clicks away. We wanted to minimise the user base calling or having to refer to user guides or online video tutorials

SUPPORTABILITY - When a system starts to become a critical backbone of decision making at board level you need any issues to be acknowledged and fixed within an acceptable amount of time. Unlike other vendors we assessed the KeyedIn SLAs aligned very well for easyJet

CULTURAL FIT - Always a hard one to explain, but something which goes a long way at easyJet both when looking at people joining the organisation but also working with vendors. It was clear that KeyedIn would work with us as a partner in delivering this project, not force their own methodology on easyJet. KeyedIn were also open is sharing their best practices and experience with us in this field.

What do you dislike?

I wouldn't ;say 'dislike' however the main area identified was it would have been helpful to provide the ability for an email to be sent to the Project Manager when a resource has been provided e.g. two way email notifications

Recommendations to others considering the product

1) DON’T RUN BEFORE YOU WALK - let changes bed in before evolving the tool further - think where you are on the maturity scale as to how much change can your organisation take before it could backfire and it becomes negative - there will always be resistance to change but don’t push too hard

2) FILTER OUT NOISE - If you are changing ways of working or any changes there will be noise. Let these bed in, identify the real problems and not these which are just notice due to the change and address these

3) SMALL CONFIG / BIG CHANGE MANAGEMENT - Even though a change may look simple configuration you must always consider the change management exercise to ensure it lands correctly

What business problems are you solving with the product? What benefits have you realized?

1) The Senior Management team had no clear view what their people were working on. It was known in pockets but organisationally wide this was not captured.

2) Resourcing estimations were poor and rather than taking fact Project Managers had to think back to similar projects and guess what effort went in. This tool was intended to use factual data to improve estimations

3) Managing resourcing risks was difficult, because there was no organisational or even departmental view that could provide early identification of resourcing peaks and troughs of resources

4) Demand tracking was not consistent. This was maintained on different resourcing spreadsheets and then merged into a single report. This provided heavy manual effort.

5) Certain Projects were being delivered through the 'back-door 'e.g. the PMO did not have violability of them

6) Prioritisation decisions were being based on emotion and not factual data which this tool was aiming to achieve

We selected this product for two key reasons; first, it handles fixed fee projects (as well as fixed hourly rate assignments) and will adjust project performance on the basis of how much time is spent on them (many systems do no do this); and second, it is cost effective for a small/medium sized business such as ours.

What business problems are you solving with the product? What benefits have you realized?

To replace our internal, spreadsheet based system with a PPM system which was easy to implement, cost effective and delivered the management information we needed.

The system is fundamental to the challenge of delivering productive, profitable projects and therefore a productive, profitable business.

"Comprehensive but affordable Project Management solution"

What do you like best?

The flexibility of customising the site to suit our specific requirements.

What do you dislike?

Difficulty developing reports because of the way data is stored in packages that can't be combined.

Spend a great deal of time looking at exactly what you want the system to do before starting the configuration - often once an area of the system is set up is completed any changes can adversely affect other areas.

Complex and often extended project management across 2 teams and incorporating all of the other business functions into the resource planning.

What do you like best?

Moving from an internal professional services automation tool to KeyedIn Projects allowed greater visibility to project status, time tracking and integration to our invoicing system.

What do you dislike?

Timesheet integration to Intacct is an "all or nothing" proposition. Because there are times when some hours can't be approved in KeyedIn yet others can, this creates a delay in moving time to Intacct for those projects eligible for invoicing.

Thoroughly identify your requirements before implementing the solution. This is critical in getting the most from the system.

Time reporting, revenue, reporting, project status all have been improved by using KeyedIn.

"Project member in an implemenation of KeyedIn Projects"

What do you like best?

KeyedIn covers a lot of the project management processes related to running projects in a professional services organisation .

What do you dislike?

KeyedIn has a weakness when it comes to follow up on the organization and people. As an example, it's not easy to access the actual utilization and compare to planed. Also it's cumbersome to manage authorization in 2 layers, line manager and project manager.

What business problems are you solving with the product? What benefits have you realized?

The main objective is to work with Resource Management. A side effect of that is improved Project management. At this point its to soon to make any conclusions but it's promising.

"A new piece of software easy to use and all in one place"

What do you like best?

You actually can do all your areas of project management in one place and in one area, rather than lots of different folders and or spreadsheets which is sometimes cumbersome.

What do you dislike?

The ability not to be able to update off line and this feature would add value as well as giving project managers and PMO offices the ability to work away from an Internet connection especially where there is bad Wifi reception areas or no internet connection.

Spend the time to talk to keyedin and make sure your requirements can be met and that the software is right for your business, understanding where you actually want to take your projects and project office.

I am running a PMO office and this gives me an insight into the companies projects throughout the business and I can see where and when people have updated there projects rather than chasing people unnessary which also frustrates people.

"Very impressive cloud-based PPM tool"

What do you like best?

The speed with which a PMO can implement KeyedIn Projects and start delivering real value is truly impressive. This is through a combination of delivery via the Cloud, a mature and feature-rich product, and a high degree of configurability by PMO without the need for KeyedIn involvement. The system is very open in terms of getting data in and out of it. I particularly like the whole concept of progressively being able to add detail about your expected project financial and resource requirements, yet from your earliest high level estimates you are able to see the impact on your entire portfolio of projects. KeyedIn provided high calibre implementation consultants who were a pleasure to work with. To put this all into context, with a 4 week pilot and a 2 month implementation period, we migrated big bang rollout of 500+ users across 5 countries from an existing PPM system. The scope of this included timesheets, re-charging to the business, issue and risk management, status reporting, project governance and financials oversight.

What do you dislike?

There are some nuances around how project financials are reported, which need careful working through if you want for example to make the distinction between official month end numbers as opposed to "live" numbers.

"Keyedin Projects - Enables Project quality and Profitability"

What do you like best?

Business and project build out is logically laid out. Best practice process is created my structuring our business around the Keyedin Projects tool. As a former user and administrator of MS Project server, there is no comparison. The supporting documentation is also excellent.

What do you dislike?

After using 3 other systems, this tool is the best.

The training documentation aligns perfectly with the tool. This is a very important factor for the successful adoption of this tool.

Margin control and resource optimization. Also we can track predicted versus actual budget estimates.

"Straightforward, usable portfolio management tool"

What do you like best?

Most of our project managers find this tool straightforward - many don't even need more than half an hour of training and a short user-guide. The MI that can be generated doesn't rely on understanding how to code, and so reports can be built by anyone - not just those with a technical background.

What do you dislike?

The user interface is a little dated, however this is being upgraded in Q3.

We are finding it easier than ever to report across several different reporting lines (financial, governance, region).

"Review of Keyedin"

What do you like best?

I like the search mechanism for project - the "contains " is especially useful. also like being able to enter project statuses weekly and the easy way to edit project details. Like the way you can clone weekly reports so as not to have to re-key previous statuses

What do you dislike?

The weekly project status report has too many mandatory fields. Not sure of the value of save & close vurses submit & close. Encountered problems working in chrome browser

"Migration to KeyedIn from Old system"

What do you like best?

The flexibility of the system. It can be configured to do whatever you need.

What do you dislike?

It is very dependant on fast broadband connection which not ec=veryone has.

We are able to maximise chargeable time spent on projects and ensure that resources are being utilised effectively.
