OnBase Workflow offers a rich set of point-and-click configurable rules and actions that allow AP processes to be quickly automated without the need for custom programming. It automates the process of identifying data exceptions, such as missing information and PO mismatches and can automatically notify the approver to speed exception handling. It can even route invoices back to suppliers when necessary.

"Intuitive but somewhat restricted"

What do you like best?

THe gui is very easy to use and very simple to understand. We have worked with the team for approximately a year and they are very knowledgeable of their product and have been also able to link to several other systems to bring additional info into OnBase.

What do you dislike?

There are certain limitations for the system if you want it to do something that would possibly require a change in the coding this is a harder part as it is not easily changed.

Recommendations to others considering the product

A phased implementation is a good way to go that way the user can begin to experience and get upgrades and add-on's as they use it, instead of failing to implement because they wanted too much at once..

What business problems are you solving with the product? What benefits have you realized?

This is being used in a group that works with sales and previously received everything in email. With this we are able to lower the amount of packages clogging our email and also able to create a cleaner and more helpful way for the sales team to send all required documents.

"Executive Assistant"

What do you like best?

About Onbase? Nothing. It gives you more steps and more work to do. You can use Microsoft Office Asst and it works WAY better.

What do you dislike?

You cannot save a file on certain screens, it can only be done one certain way on one certain screen. You cannot copy and paste, then drop the info in with a mouse- you have to use a control or function key. And you cannot set an email alert for one person, Onbase either emails everyone in the program that there is a document in a queue or you set it to email no one... Simple functions? Nope. not for Onbase.

Recommendations to others considering the product

Ask the simplest question before purchasing- ask if you can copy and past into the screen using a mouse, ask about email capabilities within Onbase, ask about setting two people in the worklow approval process for the same task/same functions-without using the vacation feature.

What business problems are you solving with the product? What benefits have you realized?

None. We started using Onbase to solve consistency/template issues, but that cannot be solved because Onbase does not function as needed- we have to start the document outside of the program and then upload it into Onbase... causing the same issues we had prior to Onbase.

What Invoice Management solution do you use?

Thanks for letting us know!

"Fairly user friendly"

What do you like best?

Anyone in the company can see cases that have been entered that have issues with them. They can search by a number of different options to get to that case so it is easy for anyone to find quickly.

What do you dislike?

Sometimes there are too many options as far as how the search functions work and it can be hard to remember exactly what information you should enter in the search fields because it can be a little vague with the search function title.

What business problems are you solving with the product? What benefits have you realized?

Easily submit requests to higher levels of customer service for them to review cases and solve issues. If another rep has the same issue come up, they can see that there has already been a request submitted for that same issue to be resolved so that there aren’t multiple requests for the same issue.

"User-friendly"

What do you like best?

The best thing I like about OnBase is that it helps with eliminating paper; it provides a place to store company data all within one system.

What do you dislike?

I dislike the response time, the minimal amount of feedback it gives when an error occurs, and when you submit something, it deletes the work.

What business problems are you solving with the product? What benefits have you realized?

The benefits are quite clear; storing data for company usage without the excessive paperwork.

I find it works out well for what my company needs from it. I enjoy being able to stick small notes and is user friendly/ uncomplicated.

What business problems are you solving with the product? What benefits have you realized?

Helping with the indexing life claims and accurints.

"Daily use for imaging and recording"

What do you like best?

I like that it connects with other computer systems smoothly we have some old systems and it helps them function properly

What do you dislike?

finding files at time is hard as they use kind of a flow chart to get to the correct avenue.

Recommendations to others considering the product

Can connect well with systems you already have in place. Our records system is quite old but even the updates work with the Onbase system.

What business problems are you solving with the product? What benefits have you realized?

we use it as a database and an image transfer option. it does its job and it works great with our current system we have on hand
